Business process automation

We remove the manual work from documents, invoices, order handling and reporting — so your team spends its week on customers, not on copying data between systems.

In most companies, a large share of administrative time goes to work that creates nothing: moving an inquiry from email into the CRM, issuing an invoice, duplicating the same numbers into a spreadsheet, assembling a report by hand, reminding a customer about payment.

It isn't a people problem. It's that the systems don't talk to each other. Each one works fine alone — and between them sits an employee with Ctrl+C and Ctrl+V.

We connect those systems so the data moves by itself.

What we automate

Six areas where the week quietly goes

Documents and invoices

Invoices and delivery notes generated from order data, signed electronically, sent to the customer. What took ten to fifteen minutes per document becomes seconds and one approval click.

CRM without manual entry

Inquiries from your site, email, chat and messengers land in the CRM automatically — with a normalized phone number, source, and a summary of what the person needs. No lead lost between tabs.

Order and request routing

Each request is assigned to the right person by rule — region, service type, current workload. The customer gets confirmation, the owner gets a notification where they actually work.

Reminders and follow-ups

Payment reminders, appointment reminders, renewal notices. The sequence a rep used to run "when they remembered" now runs on its own.

Reporting

Data from your CRM, sales channels and ad accounts assembled into one dashboard without manual exports. The report is ready each morning, not at the end of the month.

Internal approvals and workflows

Requests, sign-offs and handoffs that currently live in chat threads — with a record of who approved what and when.

When it pays for itself immediately

Six signs — recognizing two is enough
  • The same information is entered by hand into two or more systems
  • Invoices and documents are prepared manually, one at a time
  • Your weekly report is assembled from several exports into one spreadsheet
  • Leads sit in an inbox until someone gets around to them
  • Follow-ups depend on someone remembering to send them
  • Your team's answer to "why is this late?" is usually "it was waiting on me"

How we do it

Four principles
  • We analyze before we automate. Automating a broken process just produces errors faster. First we map how the work actually happens — not how the process document says it does.
  • We build on what you have. Your CRM, your accounting, your tools. Replacing a system is a recommendation we make only when it genuinely can't do the job.
  • We design for failure. External services break and change. Critical processes are built so nothing is lost when they do — failed steps retry, and someone gets notified.
  • We measure in hours, not features. The point isn't that something is automated. The point is how many hours a week came back, and what your team does with them.

We run our own operation this way

Our own lead capture and invoicing

The AI assistant on this site talks to visitors, captures contacts and creates records in our CRM with a summary of the conversation. Our own invoicing is being rebuilt the same way — documents generated from a single request, signed electronically, routed for approval without anyone filling in a template.

We don't propose workflows we wouldn't run ourselves.

    Free 30-minute call

You walk us through your day-to-day; we tell you what's realistically automatable and roughly what it's worth.

  2. 02

    Discovery & audit

From $900. We map the processes, quantify where the hours go, and deliver a prioritized plan with estimates. Yours whether or not you build it with us.

  3. 03

    Implementation

From $3,000. Built in iterations — the highest-impact process first, so returns start before the project ends.

  4. 04

    Ongoing support

From $500/mo. Monitoring, adjustments, and new automations as the operation changes.

FAQ

What people ask before a project starts
Where do we start if we don't know what to automate?

With the call. We walk through your daily processes and point out three to five places where automation returns the most, fastest. Then you decide whether to go further.

How much does it cost?

Discovery and audit from $900, implementation from $3,000, ongoing support from $500 a month. The number depends on how many systems are involved and how complex the logic is. The first 30-minute call is free.

How long until something works?

Simple automations ship in 2–3 weeks. Larger projects with several integrations run longer, but we work in iterations, so you see results before the project finishes.

Do we have to change our CRM or accounting software?

Usually not. We connect to what you already run through its API. Replacement is recommended only when the current system fundamentally can't do what you need.

What happens if an automation breaks?

On support we monitor the workflows and react to failures. Critical processes are designed so data isn't lost when something breaks and the responsible person is notified.

Can customer communication be automated too?

Yes — AI agents answer routine questions, qualify inquiries and book calls around the clock, passing along only what needs a human. Details on the AI agents & chatbots page.

We're a small team. Is it too early for us?

The opposite: the smaller the team, the more expensive an hour spent on routine work. The biggest wins are often the simplest — an automatic invoice, or an inquiry that files itself in the CRM.
